Overview
HubWorx is a mobile-first intranet and workflows platform built for growing companies that need one place for tasks, documents, approvals, and team comms. The goal was to replace a patchwork of tools (email, chats, spreadsheets, shared drives) with a secure, role-based hub that helps staff get work done faster and helps admins keep everything organized, compliant, and measurable.
Challenge
Teams were juggling announcements in chat apps, policies in shared drives, and approvals in email threads—with no clear audit trail. Onboarding was slow, tasks slipped through the cracks, and frontline staff lacked a simple, mobile way to find what to do next. Leadership wanted a unified platform that streamlined daily workflows, made policies easy to find and acknowledge, and offered clear visibility into who’s read, done, or overdue—without introducing yet another noisy tool.
Research
Findings
After conducting interviews, shadowing sessions, and reviewing data, I grouped insights into these 3 categories
Communication & Knowledge
Announcements need targeting by role/location with read receipts.
Staff struggle to find the “latest approved” policy version quickly.
Search must work across docs, announcements, FAQs, and forms.
New hires need a guided onboarding checklist, not scattered links.
Tasks & Approvals
Managers need lightweight task assignment with due dates and status.
Common requests (leave, equipment, incident reports) need simple forms.
Approvals lack visibility—who’s next, what’s blocking, SLA breaches.
Mobile push should respect “quiet hours” and urgency levels.
Governance & Compliance
Version-controlled documents and audit trails are essential.
Policy acknowledgements must be trackable by team and time period.
Role-based permissions should keep sensitive docs to the right people.
Analytics should show completion, engagement, and hotspots at a glance.
User profiles
Staff Employee
As a Staff Employee, responsibilities included completing assigned tasks, submitting requests via forms, acknowledging policies, checking schedules/announcements, and using search to quickly find “how-to” guides while on the move.
HR/Operations Admin
As an HR/Operations Admin, responsibilities included publishing announcements, managing policy versions, assigning tasks and approvals, tracking acknowledgements, and reporting completion/engagement to leadership.
Solution
I designed a unified, mobile-first HubWorx experience that brings tasks, announcements, documents, and approvals into one clean interface. A personalized Home shows “what’s due next,” while role-based targeting ensures each user sees the right content. A versioned Document Centre adds read receipts and acknowledgements. Forms and approvals run as guided flows with clear next steps and SLAs. Smart search spans docs, FAQs, and messages. Quiet-hour–aware notifications reduce noise. Admins get an analytics dashboard to track task completion, policy engagement, and bottlenecks—making governance visible without adding friction.
